New Employees
Onboarding Information for New Employees
- Make sure that you have completed all new hire paperwork at the Human Resources Office including:
- Form I-9
- Federal and State tax forms
- Direct Deposit forms
- SU Policies Acknowledgement form
- Obtain your . Your Rambler Card will be your Employee ID.

- Set up your ºÚÁϳԹÏÍøUniversity Outlook email account
- Sign up for the RAVE alert system to receive inclement weather or emergency campus notifications.
- Familiarize yourself with your department’s protocols and University policies.
- Review your job description; if necessary, ask your supervisor for clarification.
- Do you understand the policies and procedures for your department and the University? (Review Staff Handbook and/or Faculty Handbook)
- Review the timekeeping and leave instructions with your supervisor.
- Full-time employees only – Contact the HR Office (304-876-5299) to schedule a benefits orientation.
New Employee Onboarding Information for Supervisors
- If there is an extended time period between the offer and the start date, stay in close communication with your new employee.
- Shortly before the start date, notify your employee of the following:
- Start date and what time to arrive;
- Where to report on their first day;
- Parking information (where to park on campus, Rambler Card, gate access);
- What to wear;
- Expectations for the first few days
- Set up the new employee’s workstation (if applicable)
- Contact IT Services about reimaging their computer.
- IT Services will send the new employee’s computer account information to your department. You will need to give this to the employee so they can set up their ºÚÁϳԹÏÍøUniversity email account.
- Contact IT Services about a phone for their workstation
- Make sure necessary office supplies are available
- Contact Facilities Management for keys and/or door access
- Contact University Police for exterior door access
- Order business cards, if necessary
- Contact Procurement if a P-card is needed
- Request access to Banner, shared drives, etc.
- Select a member from your department to be a mentor/buddy for your new employee
- Develop an onboarding/training plan for the first two weeks (or more), as necessary
- Meet with your employee
- Set aside time in your calendar to meet/check in with your new employee in the first few days and weeks.
- Meet to discuss the job description, performance expectations, time and leave protocols, etc.
- Familiarize employee with areas in the office/building (i.e. restrooms, break room, copier, etc.).
- Provide a campus tour.
- Introduce your employee to departmental staff and key colleagues with whom they need to know or who they will interact with regularly.
- Notify employee of standing meetings that require their participation.
